Administrative and Marketing Coordinator

the opportunity
WADE is looking for an Administrative and Marketing Coordinator to join our growing team. This is an in-person position located in our Edmonton office. Key Responsibilities
Create new projects in company databases and standardized project folder structures
Update project and proposal templates (addresses, staff photos, and bios)
Support proposal preparation tasks, including formatting staff resumes for consistency
Assist with proposal preparation
Manage social media accounts
Assist with coordination of firm sponsorships and participation in events (e.g., golf tournaments, tradeshows)
Manage client documents e.g. drawings, surveys
Create occupant surveys and compile results for projects
Schedule site access for staff attending residential or client locations
Manage safety equipment and staff training
Maintain equipment inventories and tracking records
Maintain organized digital records and templates
Maintain recycling programs (bottle recycling, coffee pod recycling)
Provide general coordination and administrative support as needed
Educations and Skills:
Post-secondary education in administration, business, marketing, or a related field (or equivalent experience)
0–3 years of experience in an administrative, coordination, or support role preferred
Strong organizational skills and attention to detail
Comfortable working with multiple systems and tracking tools
Proficiency with Microsoft Office (Word, Excel, Outlook)
Clear written and verbal communication skills
Ability to manage priorities and shift between tasks as needed

Self-motivated, fast learner with the desire to continually learn and grow.
Ability to handle multiple tasks in a fast-paced, deliverable-based environment
Comfortable dealing with clients and contractors on an as-needed basis.
Readily able to assume responsibility, work independently, and be a team player.
Inquisitive, clear thinker, who can determine what is required and draw rational conclusions from the information available.
Hard worker, ready to assume responsibility quickly and have fun at the same time.

Schedule: Monday to Friday, 37.5 hrs/week
