Proposal & Document Control Specialist
Location: Edmonton
Wade Consulting Inc. (WADE) offers expertise in building science, structural engineering, and roof consulting. We work collaboratively with owners, developers, architects and builders to design new buildings, assess existing buildings, and make rehabilitation that ensure long-term value and durability for our clients while meeting the performance requirements of our constantly evolving building codes.
The opportunity
WADE is looking for a Proposal & Document Control Specialist to join our growing team in Edmonton. You will be responsible for creating and maintaining document templates in Excel and Word, implementing new document standards, and assisting in the preparation of proposal and marketing materials using Word and InDesign. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
Document Creation and Management:
Develop, maintain, and update Excel and Word templates for various project documentation needs.
Ensure all templates comply with the company's branding and quality standards.
Standards Implementation:
Implement new document standards and procedures across the company.
Ensure all project documentation is accurate, up-to-date, and follows established guidelines.
Train staff in new document standards and the use of templates.
Proposal and Marketing Material Preparation:
Utilize InDesign software to design and prepare marketing materials, such as brochures, presentations, and proposals, ensuring they align with company branding and messaging guidelines.
Assist in the preparation and formatting of design documents, ensuring consistency and professional presentation.
Collaborate with the marketing team to ensure that all materials meet project requirements and deadlines.
Collaboration and Communication:
Work closely with project managers, engineers, marketing team, and other stakeholders to gather document and design requirements.
Provide support to team members in accessing and using document templates and systems.
Qualifications
Proven experience in creating and managing documents using Microsoft Word and Excel.
Strong experience with Adobe InDesign software for the preparation of marketing materials and design documents.
Excellent organizational skills and attention to detail.
Ability to work independently and manage multiple tasks simultaneously.
Strong communication and interpersonal skills.
Preferred Qualifications
Bachelor’s degree in Business Administration, Information Management, Graphic Design, Marketing, or a related field, or equivalent experience.
Previous experience working with an engineering firm.
Experience with project management software (e.g., Microsoft Project, Primavera).
Proficiency in other Adobe Creative Suite applications (e.g., Photoshop, Illustrator).
